Terms and Conditions

1. Acceptance of Terms and Conditions
- By requesting a quotation or making a booking with the company, you acknowledge that you have read, understood, and agreed to these Terms and Conditions in full.
2. Definitions
- Trip (or Travel): Visiting New Zealand on a leisure or group tour booked.
- Tour Operator: A New Zealand-based inbound tour operator providing travel products and services to international clients.
- Client (or Traveller): The person(s) purchasing and participating in the trip.
- Departure Date: The date the Client departs their home country to begin the trip in New Zealand.
- Agent: A third party booking travel services with the compnay on behalf of the Client.
- Supplier: Third-party service providers engaged by the company, including but not limited to hotels, attractions, transport providers, and restaurants.
- Services: The travel-related services provided to the Client in New Zealand.
- Quote: A pricing proposal prepared by the company for the Agent or Client.
- Booking: Confirmation of services as per the Quote.
- Itinerary: A detailed travel plan provided to the Client outlining confirmed services.
- FIT (Free Independent Traveller): A booking for 1-9 individuals.
- Group: A booking for 10 or more travellers.
- Tour Series: A pre-scheduled group departure with fixed dates and itineraries.
3. Quote and Booking Process
- 3.1. All booking requests must be submitted in writing with the full names of all travellers and the arrival date into New Zealand. Bookings are not confirmed until a written confirmation is issued by the company.
- 3.2. International and domestic flights are not included unless explicitly mentioned.
- 3.3.The company reserves the right to issue a stop-sale notice for any tour series departure.
4. Price
- 4.1. All prices are quoted in New Zealand Dollars (NZD), including GST, and are non-commissionable unless stated otherwise.
- 4.2. Prices are fixed once the Booking is confirmed, unless adjustments are needed due to amendments.
- 4.3. Prices exclude:
  - International and domestic flights
  - Visa and passport fees
  - Travel insurance
  - Vaccinations
  - Personal expenses, tipping, and hotel incidentals
  - Credit card surcharges
5. Payment Terms & Process
- 5.1. Payment Conditions
  - 5.1.1. For bookings confirmed more than 45 days prior to departure, a non-refundable deposit of NZ$250 per person is due within 5 working days to secure the booking.
  - 5.1.2. The full balance is due 45 days before departure. Failure to pay within this timeframe may result in cancellation.
  - 5.1.3. For bookings made within 45 days of departure, full payment is required within 5 working days of confirmation.
  - 5.1.4. Custom payment terms may apply based on specific agreements between the company and the Agent/Client.
- 5.2. Payment Methods
  - Deposit: Via bank transfer or credit card (link provided in invoice).
  - Balance: Via bank transfer or credit card (link provided in invoice).
    - All intermediary bank fees must be borne by the payer.
6. Booking Amendments
- 6.1. Supplier-Initiated Changes
  - In unforeseen circumstances or force majeure, Suppliers may alter or cancel services. Suitable alternatives will be offered if possible.
  - Price differences or refunds are subject to Supplier discretion.
- 6.2. Client-Initiated Changes
  - All change requests must be submitted in writing. A revised invoice or credit note will be issued for pricing changes.
7. Cancellation Policy
- 7.1. By the company or Suppliers
  - Cancellations may occur due to non-payment, force majeure, or Supplier unavailability. In such cases, the company will make reasonable efforts to offer suitable alternatives, subject to availability.
- 7.2. By the Client
  - More than 45 days prior to departure: Full refund (excluding any domestic flight tickets, which are subject to airline terms and conditions).
  - 45 to 31 days prior to departure: 25% cancellation fee per person.
  - 30 days or less prior to departure: 100% cancellation fee applies.
  - Supplier cancellation fees (if applicable) are additional and will be passed on. Travel insurance is highly recommended.
  - All cancellation requests must be emailed to [email protected] during business hours (Monday to Friday, 9:00 am to 4:00 pm NZT). Cancellations received outside business hours or on New Zealand public holidays will be deemed as received on the next working day.
8. Refunds and Claims
- 8.1. No refund will be provided if the Client fails to carry the correct travel documentation.
- 8.2. The company is not responsible for missed services due to transport delays.
- 8.3. No refund for unused services or early departure by the Client.
- 8.4. All complaints must be submitted in writing within 30 days of trip completion.
9. Travel Insurance & Documents
- 9.1. Travel insurance is not included. It is strongly recommended for all travellers.
- 9.2. Clients must ensure they have valid passports (6+ months post-return) and appropriate visas. the company, is not responsible for denied entry due to incorrect documents.
10. Supplier Terms
- 10.1. The company is not liable for the Client's failure to comply with Supplier terms.
- 10.2. Parents/guardians are responsible for their children during the trip.
- 10.3. Due to evolving COVID-19 regulations, some services may be altered. Alternatives will be provided where feasible.
- 10.4. Local health and safety measures may apply, including capacity limits and distancing requirements.
11. Applicable Law
- These Terms and Conditions are governed by the laws of New Zealand, and any disputes shall be resolved under New Zealand jurisdiction.
