BOOKING POLICY:
- Booking Amount (30 or more days before departure): 25% of package cost or Actual Liability.
- 29 - 15 days before departure or before applying for the visa: 50% of package cost or Actual Liability.
- 14 - 08 days before departure: 100% of package cost or Actual Liability.
IMPORTANT NOTE:
- The infrastructure in these areas is not well developed. Do not expect or compare it with other developed destinations. There is often a shortage of water and power in this region, and water is supplied on a time basis - from morning to evening.
- Not all hotels in this region have generator facilities. In case of a power failure, the hotel will provide candlelight.
PAYMENTS:
- For all contracted services, an advance payment is required to hold the booking on a confirmed basis. The balance amount can be paid upon arrival in India (Uttarakhand) but must be settled before the commencement of services. Management reserves the right to determine the advance payment amount based on the nature of the service and the time remaining before the service begins. In some cases, such as journeys or hotel bookings during peak seasons (Christmas, New Year), full payment is required in advance.
OUR LIABILITIES & LIMITATIONS:
- Please note that after finalizing the tour/service cost, any increase in entrance fees for monuments/museums, taxes, fuel costs, or guide charges by the Government of India will be charged as extra.
LAW & JURISDICTION:
- For all complaints, suits, claims, or disputes relating to any products offered by The Travel Planners, the exclusive jurisdiction will be the Court of Uttarakhand.
TERMS AND CONDITIONS:
- Rates mentioned in the package are valid for Indian nationals only unless specified otherwise.
- The quotation provided is without any confirmed reservations in airlines or hotels. Once the quotation is accepted and the advance amount is deposited, the reservation will be processed. If we cannot confirm the booking, the deposited amount will be refunded.
- Once the package is confirmed, full payment must be made either online or in cash when all travel documents are delivered. For packages booked under our Airline Group Packages, airline tickets may be delivered 2 days before the group's departure.
- Base category rooms will be booked at the hotels specified in the quotation. If rooms are unavailable in the selected hotel, similar accommodations will be booked, and any price difference will be payable by the guest.
- Any date amendments in air tickets will be treated as cancellations, and new tickets will be issued at the applicable fare at the time of issuance. Cancellation charges will apply for canceled tickets as per airline policy.
- If any modifications are made to the date or itinerary, the guest must inform us in writing, and revised confirmation will depend on the availability of the requested hotels. If the guest wishes to cancel the tour in this situation, the cancellation policy will apply.
- No refund will be given for unused services in the tour package. The decision to take the service is at the discretion of the guest.
- 100% payment must be made by the guest upon arrival before the commencement of travel.
- Guests must carry valid proof of identity (passport for international travel) with a photograph, as it is required at the airport and during hotel check-in. PAN card is not a valid identity proof.
- In case of non-availability of a hotel, a similar category hotel will be provided, and the operator is authorized to change the hotel if necessary.
- Most hotels have check-in after 2 PM and check-out by 12 PM. The number of meals, including breakfast, is always commensurate with the number of nights booked. Hotels do not provide breakfast on the day of arrival.
- The tour operator is authorized to change the route or itinerary if required.
- Violation of company policy or misbehavior with any employee of the company will lead to cancellation of the package without any refund.
- For early check-in and late check-outs, payments must be settled directly by the guest at the hotel.
- In case of international travel, rates may vary depending on availability, changes in the rate of exchange, or fluctuations in the international market.
- Please read the email carefully and understand the contents and prices. All email conversations after booking will also form part of your contract with us.
- Please take care of your belongings before leaving the car or hotel. The company is not responsible for any loss.
- As directed by the Government of India, all Indian and foreign nationals are required to produce proper proof of identity at check-in. Valid identification documents include a passport and visa together, voter ID card, or current driver's license, all of which must include a photograph.
- Non-submission of valid ID proof may lead to denial of stay in hotels, camps, or any accommodation. The company is not responsible for any issues related to ID proof.
- For extra adults, many hotels provide an extra mattress instead of an extra bed. Kindly inform us in advance if you prefer only an extra bed.
- It is presumed that the tourist is medically fit to undertake the tour. If you have any allergies (especially food-related) or serious health issues, kindly inform us in advance.
- Many small hotels/resorts do not have lifts, so please inform us in advance if you are not comfortable with stairs.
- Generally, hotel check-in time is 14:00 hrs and check-out time is 11:00 hrs across India. Confirmed early check-in or late check-out will incur additional charges if not included in the cost. Kindly contact the hotel directly for complimentary early check-in or late check-out.
- Many hotels charge extra for room heaters or Wi-Fi. Normal packages do not include these charges, which should be paid directly at the hotels.
- If meals are included in the package, they will be served on a set menu basis in a buffet or fixed meal credit. Any items not included in the buffet or fixed menu will be charged extra at the time of consumption. Hotels decide the menu and options. Some hotels may have a meal credit policy instead of a buffet or fixed menu during low occupancy. If bills exceed the meal credit amount, the extra amount should be paid directly at the hotel. Room service for food or packing is charged extra at many hotels.
- In case of vehicle breakdown due to technical reasons, we will try our best to arrange another vehicle as soon as possible for major problems. For minor issues that do not take much time, the vehicle will be repaired. Kindly cooperate.
- We shall not be responsible for any delays or alterations in the program or expenses incurred directly or indirectly due to natural hazards, flight cancellations, accidents, breakdowns, weather, sickness, landslides, political unrest, or similar incidents.
- The driver will not drive in no-entry zones and should not be forced to drive on narrow streets or roads that may create traffic jams. The normal working hours for the driver are 12 hours. If you require services for more than 12 hours in a day, please inform us in advance.
- In some hill areas, driving after sunset and playing music is not allowed due to safety risks. Kindly cooperate.
- Air conditioning will not work in all hill areas or in stopped/parked vehicles.
- The pick-up and drop-off point will be one only. If multiple pickups and drops are required, please mention this in the email conversation before booking.
- If you want multiple visits to a particular place, kindly mention this in advance, as some places have high parking charges.
- The tour destination or route cannot change without prior notice. Amended routes and tour destination rates may change.
- If your booked car is not available, we reserve the right to provide a similar car after discussion with the guest.
- The rates are subject to change depending on fluctuations in diesel/petrol prices in India. If prices increase by more than 5% from the time of booking, we will adjust the rates accordingly, even if they were previously confirmed.
- At many tourist destinations or hill stations, some roads, shopping markets, or mall roads have "NO ENTRY" restrictions for larger tourist vehicles, depending on the destination and time restrictions. In such cases, guests must arrange alternative transport at their own cost, which is not included in the package.
- Sometimes, the vehicle parking area may be far from sightseeing spots. In that case, guests need to reach the parking area at their own cost.
- The vehicle will be permitted for sightseeing points on the route and within city limits as mentioned in the itinerary. For additional sightseeing, off-route sightseeing, or sightseeing not included in the city limits, please contact the company. Refunds are not possible if any particular sightseeing point is not covered.
- If you want excursions, kindly inform the company in advance or discuss these matters with the company rather than the driver. All nearby sightseeing points should be covered together. However, if there are issues with a particular place, we can make adjustments.
- No refund will be issued for short stays or unutilized facilities.
- No cancellation or refund will be made if the situation is beyond our control, such as bad weather, landslides, climatic conditions, or other natural disasters, political or national crises, roadblocks, heavy snowfall, acts of terrorism, strikes, or issues with airlines, railways, buses, hotels, or transporters.
- The company is not responsible for any accidents, injuries, deaths, or theft of persons or property during the course of the tour.
- The company expressly disclaims any implied warranties imposed by the laws of any jurisdiction or country other than India. The company considers itself subject only to the jurisdiction of the courts of Dehradun, India.
- By accepting this quotation, you acknowledge that you have read the complete package information and agree to the booking terms and conditions, payment policy, and cancellation policy. You accept the tour package and confirm that it fits within your budget and requirements.
